Booking Policy

 

Thank you for choosing All Himalayan Treks Pvt.Ltd for your adventure experience. To ensure a smooth and enjoyable booking process, we have outlined our booking policy below. Please read it carefully and feel free to reach out to our customer service team if you have any questions or require further clarification.

  1. Reservation and Payment:
     All bookings must be made in advance through our website, authorized agents, or directly at our office.

  2. Payment Methods:

    We offer the following payment methods for trip confirmation:

    Bank Transfer: If you prefer to make payment via wire or bank transfer, we will provide you with detailed instructions prior to confirmation. Please note that any delays or losses that may occur during the transaction process are not our responsibility. You are liable for any fees charged by your primary and intermediary banks. If the amount received in our account is less than the trip confirmation amount or deposit, you are responsible for paying the difference to ensure the total cost equals the trip cost.

    Direct Money Transfer: You can also confirm your trip by using direct money transfer services such as Western Union or MoneyGram. We accept payments through both of these services. Details will be provided before confirmation, and you are responsible for any money transfer agent fees. Please provide us with the reference numbers or money transfer control numbers so that we can track your booking accurately. Sometimes, the bank may forward the money under a different name, so having these details from you will assist us in tracking the transactions.

    Credit Card: Additionally, payments can be made by Credit Card while you are in Nepal. We accept MasterCard and Visa Card only. Please note that a 4% extra bank service charge will apply, which you are liable to pay.

    The remaining balance can be paid upon arrival in Nepal. You can choose to pay in cash, through bank transfer, or by credit card. If you are not arriving or departing through Nepal, the balance must be paid before the trip commences. Payment can be made via Bank Transfer, Money Transfer, or Credit Card.

    We strive to provide you with convenient and secure payment options for your trip confirmation. Please ensure that you carefully review the payment details and make the necessary arrangements accordingly

    b. A deposit of 20% of the total trek cost is required at the time of booking to secure your reservation. The remaining balance must be paid after your arrival in Nepal or before.

    c. For last-minute bookings made within 15 days of the trek departure date, full payment is required at the time of booking.

  3. Cancellations and Refunds:


    a. If you need to cancel your trek, please notify us in writing as soon as possible. Cancellation charges will apply based on the following schedule:

    • 80 % of the total trek cost will be refunded if cancelled 90 days or more before the trek departure date.

    • 50% of the total trek cost will be refunded if cancelled between 15 to 90 days before the trek departure date.

    • No refund will be provided if cancelled 15 days or less before the trek departure date or in case of a no-show.

 

b. The deposit paid at the time of booking is non-refundable but can be transferred to another trek within 6 months of the original departure date, subject to availability.
 

  1. Trek Modifications:
    a. If you wish to modify your trek after booking, we will make reasonable efforts to accommodate your request, subject to availability and additional costs, if any.

    b. Any changes made within 15 days of the trek departure date may incur administrative fees and/or charges imposed by our suppliers.
     

  2. Health and Fitness:
    a. Trekking can be physically demanding, and it is important to ensure you are in good health and suitable physical condition before participating.

    b. We may require you to provide a medical certificate confirming your fitness level or request additional information regarding your health to ensure your safety during the trek.

     
  3. Travel Insurance:
    a. It is mandatory for all participants to have comprehensive travel insurance that covers trekking activities, including emergency medical evacuation and repatriation.

    b. You will be asked to provide proof of insurance before the trek departure. Failure to provide valid insurance may result in your exclusion from the trek without a refund.

     
  4. Itinerary Changes and Force Majeure:
    a. While we make every effort to adhere to the planned itinerary, unforeseen circumstances such as weather conditions, natural disasters, political situations, or other factors beyond our control may require itinerary modifications.

    b. In the event of itinerary changes or cancellation of the trek due to force majeure, we will provide alternative options or a refund based on the feasibility and available resources.

     
  5. Liability:
    a. Trekking activities involve inherent risks, and participants must understand and accept these risks.

    b. We are not liable for any personal injury, illness, loss, damage, or inconvenience caused during the trek, including but not limited to accidents, delays, or equipment failure.

 

By making a booking with our trekking company, you acknowledge that you have read, understood, and agreed to the terms and conditions outlined in this booking policy. We recommend that you carefully review your itinerary, consult with your healthcare provider, and obtain necessary travel insurance before embarking on your adventure.
